Manage inventory items and stock

Inventory Management

Track and manage all inventory items across your organization. Monitor stock levels, receive items, and maintain accurate records.

Administrator Inventory Access

Full access to all inventory items across all branches

Inventory List

The inventory list shows all tracked items with key information:

SKU & Name

Unique identifier and item name

Category

Item classification for organization

Quantity

Current stock level with unit

Location

Where the items are stored

Receiving Inventory

When a purchase request is fully paid, items can be received into inventory:

Go to Purchase Request

Navigate to the fully paid purchase request

Click "Receive to Inventory"

This option appears when the request is fully paid

Select Storage Location

Choose the warehouse or location where items will be stored

Confirm Receipt

Items are added to inventory and stock levels updated

Low Stock Alerts

Automatic Alerts

When items fall below their reorder level, the system automatically flags them and can send email notifications to administrators. Check the dashboard regularly for low stock warnings.

Filtering & Search

Find items quickly using:

  • Search: Find by SKU, name, or description
  • Category Filter: Show items from specific categories
  • Low Stock Filter: Show only items below reorder level

Send Inventory Report

Generate and send inventory reports on-demand via the "Send Report" tab:

Go to Send Report Tab

Click the "Send Report" tab on the Inventory page

Enter Email Addresses

Specify the recipient email and optional CC address

Select Report Sections

Choose which sections to include: Pending Requests, Low Stock, Recent Activity, or All Stock

Send Report

Click "Send Report Now" to email the inventory summary immediately

All Stock Report

The "All Stock" option includes a complete inventory list with item names, SKUs, categories, quantities, locations, and stock status (OK or Low).
